1. Company Description
Authentic Shapes focuses on retreats, coaching, workshops, and breathwork sessions within the field of personal development. KVK: 69119244.
2. Definitions
Cindy de Vogel, the owner of Authentic Shapes, is referred to as the Contractor. The client using these services is referred to as the Client. The Agreement includes all arrangements, written or verbal, between the Client and Contractor regarding the services provided.
3. Booking and Payment
Payment is processed via the Kajabi system. To reserve a spot for a retreat, a non-refundable deposit of €500 is required. The remaining balance will be requested two weeks after the deposit. There is an option to pay for the retreat in two installments; please contact us to arrange this. Retreat payments are non-refundable. Late or non-payment results in default status, and the Contractor reserves the right to cancel participation immediately. The Client is liable for any statutory interest and collection costs incurred.
4. Cancellation Policies
All retreat, workshop, and breathwork payments are non-refundable. If any portion of the retreat is not attended, no refunds will be issued. Cancellations must be submitted via email to hello@authenticshapes.com.
5. Cancellation by the Organizers
In the unlikely event that the retreat must be canceled due to unforeseen circumstances—such as insufficient registrations, illness of facilitators, or any other reason beyond our control—we will refund 100% of the retreat fee. However, we are not responsible for additional costs such as flights, transportation, accommodation outside the retreat, or other personal expenses. We strongly recommend purchasing travel insurance to cover any unexpected changes.
6. Liability
The Contractor is not liable for damages arising from services provided. The Client remains responsible for decisions made during or after participation in any session. The Contractor is not responsible for personal progress or outcomes resulting from coaching, breathwork, or retreats. Breathwork is a supportive method; the Client is fully responsible for their own mental and physical well-being.
7. Price Inclusions & Exclusions
The retreat is all-inclusive except for:
Transportation costs.
1:1 bodywork sessions.
Additional personal expenses (visa fees, personal insurance, extra meals, etc.).
The Contractor reserves the right to adjust prices before full payment. Once paid, no surcharges apply unless modifications are made after booking.
7a. Photo and Video Consent
Photos and videos may be taken during the retreat for promotional purposes. By participating, Clients consent to the use of their images on social media and websites unless they explicitly opt out. No video recording is allowed during ceremonies. Audio recordings require prior permission. Please let us know if you prefer not to be photographed or recorded.
8. Force Majeure (Circumstances Beyond Our Control)
Authentic Shapes is not responsible for cancellations or losses due to force majeure, including but not limited to war, riots, natural disasters, epidemics, pandemics, industrial disputes, or severe weather conditions. We reserve the right to modify or cancel services due to such unforeseen events.
8a. Weather and Location Conditions
Authentic Shapes is not responsible for any delays, cancellations, or discomfort caused by weather conditions or unforeseen issues at the retreat location. Program changes or location adjustments may be made at the facilitator’s discretion to ensure safety and quality.
9. Health & Safety
Clients must disclose any medical conditions, dietary needs, or special requirements upon booking. Breathwork is not suitable for individuals with cardiovascular issues, high blood pressure, major medical conditions, or a history of aneurysms. Pregnant women should seek medical approval before participating. Cindy de Vogel and co-facilitators are not liable for any health consequences. Clients should have adequate travel insurance.
9a. Medical Disclaimer and Health Declaration
Clients must disclose any medical conditions, chronic illnesses, psychological issues, medication use, allergies, or other health-related matters that may affect their participation. Participation in the retreat is at the Client’s own risk. Authentic Shapes facilitators do not provide medical treatment and recommend consulting a healthcare professional before attending if there are any concerns.
9b. Mental Health and Emotional Support
Our retreats include breathwork, trauma release, and shadow work sessions which may bring up strong emotions or psychological responses. While our facilitators are highly experienced and trained to hold a safe and supportive space, they are not licensed therapists. We encourage all participants to seek ongoing professional mental health support as needed. Your emotional well-being is important to us, and we are here to support you within the scope of the retreat.
10. Participants’ Responsibility
Participation is voluntary. Clients are responsible for their own well-being. The Contractor may refuse participation if there are health or safety concerns—no refund will be issued in such cases.
10a. Code of Conduct
Clients agree to maintain respectful behavior throughout the retreat. Confidentiality, safety, and personal boundaries must be respected at all times. Unwanted physical contact or disruptive behavior will not be tolerated and may result in immediate removal from the retreat without refund.
10b. Emergency Contact and Medical Emergencies
Clients must provide the name and phone number of an emergency contact person. In case of a medical emergency, Authentic Shapes facilitators reserve the right to provide first aid and/or call emergency services as necessary.
11. Audio/Video Recordings
No video recording is allowed during ceremonies. Audio recordings may be permitted only with prior consent. Photos/videos may be taken for promotional purposes. By agreeing to these terms, Clients consent to their use on social media and the website.
12. Online Services Disclaimer
For online sessions, Authentic Shapes is not liable for technical issues. The Client is responsible for ensuring a stable internet connection and appropriate equipment.
13. Data Privacy
Personal data is processed in compliance with data protection laws and will not be shared with third parties without consent.
14. Jurisdiction
These terms are governed by the laws of the Netherlands. Any disputes will be handled by the courts in Rotterdam.
15. Agreement
